Phone migration checklist
Work through this list before you change phone systems or carriers, whoever you choose. Print the page or copy it into your own notes.
The checklist
Eight things to sort out before you switch
Numbers and lines
- Every main, direct-dial, fax and toll-free number, taken from the latest bill.
- Which carrier holds each number and the account details exactly as the carrier has them.
- Numbers you no longer use, so you stop paying for them.
Lines that are not phones
- Fire and security alarm panels.
- Elevator emergency phones.
- Fax machines and fax-to-email.
- Gate entry, door intercoms and card terminals that still dial out.
How calls flow today
- Business hours and holiday schedules.
- Who answers first, where calls go next and where they end up after hours.
- Ring groups, queues, voicemail boxes and the auto attendant script.
Emergency calling
- The street address and the floor, suite or room detail for every location.
- Whether staff can dial the emergency number directly, without a prefix.
- Who should be notified on site when someone calls for help.
Network readiness
- Internet speed and reliability at each site, and whether there is a backup connection.
- Whether phones can have their own network and priority on the firewall.
- Power: which phones and network gear stay up in a power cut, and for how long.
Contracts
- End date and notice period for the current phone and internet contracts.
- Early termination fees and any equipment you lease rather than own.
Cutover day
- A low-traffic window, agreed with each site manager.
- A test plan: inbound, outbound, every call flow, voicemail and emergency address records.
- The old service stays active until the tests pass.
After the switch
- Documentation of numbers, call flows and devices.
- Admin logins held in your company’s name.
- Who to contact for changes and how fast they reply.
