Phones and networks for clinics with more than one location

Patients call the number they know and expect an answer. We set up call routing that lets any location or a central scheduling team pick up, keep patient data on its own network segment, and plan for the fax line that will not go away.

What clinics need

Calls, scheduling and fax

  • Central scheduling. Call queues that let staff at any location answer for the others, with overflow to whoever is free.
  • After-hours routing. Calls go to an answering service or an on-call number on a schedule, set per location.
  • Fax that is still needed. Fax over IP or fax-to-email for referrals and records, with access limited to the people who need it.
  • Voicemail and recordings. These can contain patient information, so access, retention and encryption are configured with the HIPAA Security Rule in mind.

The network

Clinical systems on their own segment

Imaging, practice management and medical devices sit on segments apart from staff laptops, and patient Wi-Fi is isolated from both. Every site gets a backup connection so the scheduling system and phones stay up together.

Questions

Multi-location clinics questions

Do you sign a business associate agreement?

Ask us during the quote. Where we handle systems that store or carry patient information, the agreement and its terms are part of the contract discussion.

Can each location keep its own number?

Yes, and each one can also ring the central team when the front desk is busy.
