Business phone service / New York, New York
Business phone service for New York offices stacked forty floors high.
A New York office is often one floor of a tower, a second suite two blocks away and a dozen people who work from Brooklyn, Queens or New Jersey most days. Calls from clients, tenants and counterparties land on all of them. Texwan builds phone systems for that layout: one set of numbers, routing that follows people, and 911 records that point responders to the right floor instead of the lobby.
Everything is set up remotely. Phones arrive programmed with each person’s extension and line keys, and local 212, 646, 718 or 917 numbers are added where available or ported from your current carrier.

In a high-rise, RAY BAUM’S Act Section 506 requires a multi-line telephone system to send a dispatchable location with a 911 call, such as the floor and suite, not just the street address. Kari’s Law also requires direct 911 dialing with no prefix and a notification to someone on site. (FCC)
New York’s SHIELD Act requires businesses that hold private information about New York residents to keep reasonable safeguards in place. Voicemail and call recordings that capture account numbers or other private information are part of that picture. (NY Attorney General)
02 / Risk and Compliance Matrix
Risk and Compliance Matrix
| Risk | Control or compliance mapping | Business impact |
|---|---|---|
| One 911 record for a company spread over several floors | RAY BAUM’S Act dispatchable location and Kari’s Law notification (FCC) | Responders arrive at the wrong floor of a large building |
| Voicemail and recordings with client account details kept indefinitely | SHIELD Act reasonable safeguards (NY AG); NIST SP 800-58 (NIST) | Private information sits in mailboxes with no owner or retention rule |
| Outbound calls labeled as spam to clients | STIR/SHAKEN caller ID authentication (FCC) | Calls to clients and counterparties go unanswered |
03 / Architecture and Remediation Directives
Architecture and Remediation Directives
- Give every desk phone and every softphone user a dispatchable location, and send 911 alerts to the front desk and building security.
- Set voicemail retention and recording access by role, and delete what you have no reason to keep.
- Keep all outbound numbers in one account so calls can be signed with full attestation.
- Build a separate after-hours path for building emergencies so tenants reach a person, not a general mailbox.
04 / Vendor-Neutral Verification Checklist
Vendor-Neutral Verification Checklist
Three checks you can run yourself, with or without us.
- Look up the 911 location stored for a phone on your highest floor and confirm it names that floor.
- Ask who can listen to call recordings today and compare the list with who actually needs them.
- Call three mobile phones on different carriers from your main line and note any spam label.
Legacy and odd setups
Old phone systems in New York? We can work with them.
Manhattan still has plenty of PRI circuits, Centrex lines and large Avaya or Nortel systems behind reception desks. If the hardware is sound, we can move it onto SIP trunks through a gateway and retire the old circuits first, then replace phones floor by floor. We also handle the odd lines buildings forget: elevator phones, fire panel lines and fax numbers on old copper.
How it works
Remote setup, phones shipped ready to use
- Review. Send us your current bill or a list of numbers, users and sites. We map extensions, call flows and anything unusual.
- Build. We build the hosted system or SIP trunk configuration and program each phone (Yealink, Yeastar, Grandstream or Sangoma) with its extension and buttons.
- Ship. Phones arrive pre-configured and labeled. Your staff plugs them in; no technician visit is needed for a standard setup.
- Port and support. Numbers port on a date you approve, and support is remote, with every request answered within one business day.
Questions
New York business phone FAQ
Can we keep our 212 numbers?
Usually, yes. Numbers that are active with your current carrier can normally be ported. We confirm portability for each number before you sign anything.
Our staff work from three boroughs and New Jersey. How does 911 work for them?
Each remote user keeps a registered location in the app, and we show them how to update it when they work somewhere new.
Can calls ring a desk phone and a mobile app at the same time?
Yes. Each user can choose desk, app or both, with separate rules for business hours and after hours.
